One of the biggest “time-consumers” for sales teams is not negotiating with customers, but administering the incoming requests for proposals. Dozens of emails arrive every day, from which items have to be manually picked, stock checked, quotes generated and, if all goes well, the order recorded in the ERP system.
The latest addition to Microsoft Dynamics 365 Business Central, the Sales Order Agent, takes exactly this burden off your shoulders. In our demonstration video, we show how artificial intelligence is transforming the sales process.
What is a Sales Order Agent?
This intelligent agent is not just a simple software automatism. It’s an AI-based assistant that can interpret emails written in natural language, recognise context and autonomously perform complex tasks within Business Central – while keeping ultimate control in the hands of humans.
How does it work in practice?
Imagine the following scenario: a customer sends an email requesting 10 office chairs and 2 desks.
Monitoring and analysis: the agent monitors the designated mailbox. As soon as the mail arrives, it analyses its content: it identifies the customer based on CRM data and recognises the products requested.
Stock check: the AI immediately checks the available stock in the system. If something is unavailable, it can suggest an alternative or inform you of its expected arrival.
Proactive communication: if a critical piece of information is missing from the email (such as the exact colour code or delivery date), the agent will write a polite reply to the customer and request the missing information – without human intervention.
Preparing the quote: once all the data is available, the agent prepares the official quote, generates a PDF and sends it to the client for approval.
Order confirmation: if the customer accepts the offer, the agent automatically creates the final sales order in Business Central.
Why is it worth introducing?
The benefits of automated order processing are immediate:
Speed: Requests for quotes are answered within minutes, which significantly increases the conversion rate.
No errors: errors caused by typos and misspellings are eliminated.
More valuable work: salespeople can finally get on with what they do best: building customer relationships and making strategic sales.
How to get started?
Implementing Sales Order Agent is extremely simple. All you need is a dedicated email account and the right configuration of Business Central. The system is consumption-based (Copilot credits), so costs are predictable and proportional to usage.
