Rossmann is one of the leading drugstore chains in Hungary, constantly striving to offer its customers better and more favourable offers. The chain attaches great importance to effective promotions and special offers in order to maintain and increase its competitiveness.

Problem

Rossmann had previously managed its promotion management records, processes and tasks in a file-based system, which was cumbersome and time-consuming due to its manual nature. There were frequent errors and delays in the planning, approval and execution of promotions, and communication, information and task handover between business areas was less efficient. The company needed an integrated, transparent and user-friendly system to support the full lifecycle of promotions.

The promotion management platform is designed to enable Rossmann’s marketing and procurement team to efficiently plan the annual promotional calendar and portfolio. This platform allows:

  • Planning the annual promotional calendar and portfolio in a top-to-bottom manner.
  • Designing periodic, bimonthly and specific promotions, not necessarily covering a homogeneous range of products.
  • Automated and manual scheduling of tasks related to the sale and execution of promotions across the Marketing, Procurement and Dispatch business areas and tracking of their execution.
  • Involve partners and manufacturers in the design process, i.e. they can determine which of their products are included in promotions.

Solution

Promotional database and newspaper designer

At the heart of the new promotion management system is the promotion database and the promotional magazine module.

This module not only supports the design of print and online promotional magazines and promotions, the uploading of content, but also allows you to manage all the necessary data.
The database contains information on all manufacturers and products, including discounts, special prices and other parameters of promotions.

Promotional newspaper

The Promotional Newspaper Designer module allows you to design your promotional newspaper, taking into account the different binding options (1/8, 1/4, 1/2 page). This module helps you to effectively display promotions and plan and track the distribution process of your newspaper.

Main features

Information request and approval processes
The system supports the information request process, whereby manufacturers and partners can submit the data required for promotions. In addition, approval processes are integrated so that managers and supervisors can easily review and approve planned promotions.


Loading promotional prices

Promotional prices are loaded automatically, ensuring that the latest prices are always included in the ERP system and promotional material. This includes loading promotional consumer prices and managing prices for distribution.


Integration of competitor data

The system also allows you to load competitor data on promotions, so that the Rossmann marketing team always has up-to-date information on the market. This helps them to plan competitive promotions and react to market changes.


Reporting section

The reporting section of the system supports management decisions, ensuring that management can always make strategic decisions based on accurate and relevant data, including the effectiveness of promotional activities, sales results, price and traffic analysis.

Results

Replacing the previous file-based system, the new system digitized the entire lifecycle of promotion management, making promotion management more efficient and transparent.
The system was developed based on Rossmann’s specific needs and processes, resulting in a customized solution that significantly contributes to the efficiency of Rossmann’s marketing and promotion activities.
